Sharing and access
Galleries are private by default. Protect one with a gallery password, or give specific people access with an email invite or a secret link. Everything is revocable.
Every Artilio gallery is private by default, no one can open it without access. You have three ways to let people in, and you can combine them: a gallery password for simple shared access, named email invites for specific people, and secret links for anyone with the URL. All of them are revocable.
Password protection
A gallery password is the simplest way to share a private gallery. The gallery stays locked, and anyone you give the password to opens it by entering the password once.
When you set up a gallery, Artilio can generate a short, memorable password for you, or you can type your own. You can change or remove the password at any time in the gallery's sharing settings. Removing it makes the gallery open to anyone who has the link.
You also choose what password holders can do, such as whether they can download original files or buy prints.
If a client forgets the password, there is nothing for them to reset: the password belongs to the gallery, not to the client. Open the gallery's sharing settings to view the current password and send it again, or generate a new one, which replaces the old password immediately.
Named access by email
Enter the person's email address and Artilio sends them a private link. Access is tied to that email address, so the gallery opens for the right person. No PIN is needed to open the gallery; the optional PIN is only an extra check on downloading.
Named access is the right choice for:
- The couple (they get the full gallery including private chapters).
- A specific family member or trusted friend.
- A client who needs download rights.
- A second shooter who needs to upload files.
Named access carries capabilities that you control per-person:
- Rate, the person can leave 5-star ratings on photos.
- Comment, the person can leave written comments.
- Proof, the person can mark photos as selected for retouching.
- Download, the person can download original-resolution files.
- Upload, the person can upload files to the gallery.
- Buy prints, the person can place orders in your print shop.
Secret links
A secret link is a URL that grants access to anyone who has it, no email address or invite required. You control what they can do and whether the link expires.
Secret links are the right choice for:
- 200 wedding guests who do not need download rights.
- A preview link you share on social media.
- A temporary access link for a magazine editor.
- School parents browsing the whole-school preview before the per-class links go out.
Secret links support:
- Expiry date, the link stops working after a set date.
- Max uses, the link stops working after a set number of opens.
- Revoke, immediately invalidate the link. Any further access attempts are rejected.
- Regenerate, create a new secret link, invalidating the old one.
Per-chapter visibility
Named access supports per-person chapter visibility. For links, use the per-chapter link generator to scope each link to specific chapters; scoping a single shared link to a chosen subset of chapters is coming soon. Either way, the couple sees the boudoir chapter and 200 guests see only ceremony and reception, using the same gallery, with no duplication of photos.

Revoking access
You can revoke any access grant at any time. For named access, the person's link stops working immediately. For a secret link, the link is invalidated immediately, even if there are still uses remaining or the expiry date has not passed.
