Uploading and organizing photos
How to upload photos, keep them organized on the photographer side, and assign them to gallery chapters for clients.
Artilio separates how you organize files internally from what clients see. On the photographer side you work with folders (called asset collections). On the client side clients see galleries and chapters. The same file can appear in one chapter without any duplication.
Uploading photos
Go to any chapter inside a gallery and drag photos onto the upload zone. You can also click Upload to browse your computer. Supported formats: JPG, PNG, TIFF, and HEIC.

Photos upload directly to Artilio's EU-based storage and are delivered to clients from the EU CDN. Your original files are never modified, re-compressed, or downscaled after upload: Artilio keeps every original exactly as you sent it. To display galleries quickly on any device, Artilio separately creates optimized copies of your photos; these copies are used only for viewing and never replace or change your originals. You do not publish photos manually: they become visible to anyone with access to that chapter as soon as this automatic processing completes, which usually takes only moments.
Organizing on the photographer side
If you need to keep files organized by shoot date, card, or camera operator without exposing that structure to clients, use folders. A folder is a private file container that never appears in the client view. You can move files between folders without affecting which gallery chapters they appear in.
Common folder structures:
- One folder per shoot day (Card 1, Card 2)
- One folder per camera (Main body, Second shooter)
- One folder per SD card
Photo numbering and ordering
Photos in a chapter are numbered in the order they appear. The number shown in the client view is stable, it does not change when you add or remove photos. This is important: when a client says "I love photo 42", you and they are referring to the same image even if the chapter changes later.
You can reorder photos by dragging them within a chapter. Reordering is reflected immediately in the client view.
Replacing a photo (versioning)
On the Pro and Studio plans you can replace a photo with a retouched version. The old version is preserved so you can roll back if needed. The photo's stable number and all client ratings/comments carry over to the new version.
Limits
- Minimum plan: 250 GB storage.
- Pro plan: 500 GB storage.
- Studio plan: 2 TB storage. Additional storage available on request.
- Single file size: no hard limit, upload full-resolution JPEG exports.
